Call for Partners – Welcome Desk Europe AK220 HED

In a context of increasing international student mobility, European higher education institutions face shared challenges: the complexity of administrative procedures, fragmented information, and difficulties related to the arrival and integration of mobile students.

Welcome Desk Europe is a European initiative aimed at developing interactive and multilingual welcome desks to facilitate the administrative set-up of international students across European countries and to improve the overall quality of the mobility experience.

The programme will run for 24 months and will start in October 2026.

Objective of the cooperation

The project is based on active cooperation between European higher education institutions in order to build a shared European library of administrative procedures related to student mobility.

Role of partner institutions

Each partner institution will be expected to:

Identify and map all administrative procedures that an international student may be required to complete:

- upon arrival in the host country,
- throughout the study period,
- and until the end of the mobility.

Document each procedure by specifying:

- the purpose of the procedure,
- the competent authorities or organisations involved,
- the exhaustive list of documents required,
- any applicable deadlines, conditions, or constraints.

Be able to pilot and test the interactive welcome desks developed within the project with at least 70 international students arriving in its country, and to contribute to the qualitative and quantitative evaluation of the solution, based on administrative procedures made available through a dedicated website.

European added value

All contributions collected from partner institutions will make it possible to:

- create a structured and multilingual European library of administrative procedures,
- improve access to clear, reliable and harmonised information for mobile students across Europe,
- strengthen cooperation between higher education institutions and public services,
- foster inclusion, quality reception and the success of learning mobilities.
