Translate a SALTO Inclusion for All Booklet
Some say that educational publications in English are not always 'accessible' for youth workers because of the language barrier. If you want to remediate this problem, you could translate (one or more of) the SALTO Inclusion for All booklets. Find some guidelines on how to go about this.

for All!Interested to develop one of the SALTO Inclusion for ALL booklets in your (another) language?
GREAT! The SALTO Inclusion Resource Centre would like to make the practical SALTO Inclusion for All booklets (and the training courses they are based on) as accessible as possible, promoting their translation into different languages! BUT we cannot do this alone: that's why we are looking for interested partners to make the Inclusion for All booklets available in different languages or formats (e.g. Braille, audiobook, large print,...).
Reading through these guidelines is a good first step to get an idea about what the translation, layout AND publication of one of the SALTO Inclusion for All booklets entails.
When you are interested to embark on the translation & publication (electronic, audio or paper) of a SALTO Inclusion for ALL booklet, the SALTO Inclusion Resource Centre (part of Jint vzw) can give you the agreement to do so. You can then translate, layout and publish the booklet (at your own cost), in line with the guidelines below, and distribute it as you see fit. SALTO Inclusion can support you in the process, and in return would like to receive an electronic PDF version of the booklet for its website - as well as a small number of paper copies. We strongly encourage links with the National Agencies of your language/country.

Translating the SALTO Inclusion for ALL booklets
Translation is a delicate art. In the (European) youth work field, there is much of jargon and terminology going around, and the concepts and references are in constant evolution. That's why translating a booklet, is more than sending it off to a translation agency...
As this booklet is originally a tool for/from the Youth (in Action) programme, it is important to also involve the YiA National Agency(s) of the language that you translating the booklet in (if it is not the YiA National Agency translating it). We would like to stimulate cooperation on the quality/content side, but maybe also as regards to financing, and certainly for the distribution of the translated booklets. Contacts should be sought before starting up the translation process.
Quality check & Updating
- The translation of the Inclusion for All booklet has to stick as close as possible to the original text - with some exceptions as mentioned below. The translation has to be done from the original English version (as other language versions might have adaptations).
- Should you wish to make an adaptation or use smaller parts of an Inclusion for All booklet, you may do so, making a clear reference to the booklet in question and the relevant SALTO webpage and after notifying the SALTO Inclusion Resource Centre. This will however not be a SALTO Inclusion for All publication. But we would of course like to receive a copy of this new publication, inspired (in part) by a SALTO Inclusion for All booklet.
- Language & Terminology Check - this can be carried out by the NA, by a youth worker, by SALTO - but always by a native speaker - who knows the youth (programme) sector
- Updating - the booklets contain a series of references to certain programmes, organisations, emails and/or websites. It has to be checked if these still exist. When not, the information has to be updated (e.g. new website, new name) or replaced by an equivalent (in cooperation with SALTO Inclusion).
- Youth (in Action) Programme - the YOUTH programme (2000-2006) has been replaced by the Youth in Action programme (2007-2013), which has generally the same 'actions' as before, but different numbers/labels/names for these actions. This has to be updated throughout the text (in cooperation with the NA of your country/language or SALTO Inclusion).
- Project Examples (optional) - the project examples mentioned in the booklet, could (if wanted) be replaced by either 1) more recent equivalent projects or 2) projects from your local context (of the language you are translating in e.g. German, Belgian & Austrian project examples for the German version).
- National References (optional) - at the end of the Inclusion for All booklets, there is a list of relevant websites and references (Further Reading). As SALTO-YOUTH is working in English, these references (mostly) are to (European) English language websites & publications. You can decide to add references, websites, contacts and organisations that are relevant for the language area of the translation. However do make sure that there are also relevant references for other (European) countries of the same language area (e.g. Dutch translation could have both references to Dutch as well as Flemish info/ organisations/ websites)
- If you are not a Youth Work Organisation/YiA National Agency/... - SALTO Inclusion would like to take care of the Quality Check of the translated document, when justified. SALTO Inclusion has a limited budget for this quality check, which puts a maximum on the number of possible translations with SALTO Quality Check per year.
- Editorial Info - in the editorial info page (end of booklet), additional information has to be added/changed:
Adapt: "Published in [Month Year] by [Organisation, Address, Website]
Add: "Original by SALTO-YOUTH Inclusion Resource Centre [etc]"
You can add: "translated from English by XXX" and mention "SALTO Inclusion cannot be held responsible for the accuracy of the translation"
And adapt the Printing information (and if relevant Proofreading name)
The date - Disclaimer - In older publications where this has not been done yet, the following sentence has to be added on the bottom of the first page: "This document does not necessarily express the official views of the European Commission or the SALTO Inclusion Resource Centre or the organisations co-operating with them"
Formal Criteria for Layout & Printing
You are creating a brother or sister of one of the SALTO Inclusion for All booklets, and it is only normal that siblings in one family look similar, but they could also have some differences. To keep the SALTO quality high (and keep a clear link with the original), we would also like to ask you to stick with the following guidelines.
SALTO Inclusion will provide the necessary graphical files and information for the Inclusion for All booklet in question so that the translated text can be put in an as much as possible similar layout, format & look of the original, with some flexibility as mentioned below. SALTO will provide you with our Layouter's Formal specifications
- Size & Format - the original SALTO Inclusion booklets are printed in A5 format. We suggest you keep the same, however you could decide to print it in A4 (as this is a widely used standard as well).
- !! Do note that you would also need to ask your layout person to provide a PDF file in A4 format for the SALTO (and your) website to download and print (in a resolution appropriate for the web/printer e.g. max 3-5Mb)
- Cartoons & Visuals - SALTO Inclusion will provide you all cartoons, graphs, illustrations in a common format in the layout world.
- Colours - The cover of the translated SALTO Inclusion booklet should be 4 colour print - as good as identical to the original. The inside of each SALTO Inclusion for All booklet has one extra colour (for titles, shading, headers, tabs,..) - However you could decide, to do the inside pages in black and white only, or still lay them out in colour (for the electronic PDF version) but print in black&white (cheaper for printing).
- Page look - the pages inside the booklet should look as much as possible the same to the original. Detailed specifications will be given by our layouter. There are tabs on the top side of each page, which indicate the different chapters - when you look at the closed booklet from the side). These tabs are optional. On top of each page there is some whitespace before the text starts. If you decide to do the booklet in A4, of course you need to increase the text size, pictures etc as well.
- Outside Cover - this has to be the same as the original, in 4 colour print, with the difference that you can add your organisation's logo on the back and/or front cover next to the SALTO Inclusion logo, in the same visual weight/size. Next to "you can download this and other booklets for free at www.SALTO-YOUTH.net/Inclusion/" you can also add your own website.
- Binding - SALTO Inclusion opted for binding/gluing the booklet together. We suggest you do the same, however cheaper alternatives are not excluded (e.g. spiral, rings, clip-folder...) as long as it looks nice and tidy (e.g. no bunch of stapled pages).
- Paper - SALTO uses Munken paper - which gives a thicker feel - but alternatives are possible. SALTO Inclusion gives a preference to recycled paper.
Distribution & Promotion
The translating organisation can distribute the published/printed copies of the translated booklets as they see fit. They can provide them free of charge or decide to recover (part of) the costs of translating, layout, printing and sending from the people requesting booklets (ask for a contribution) HOWEVER it is not allowed to make profit with the sale of the booklets. It is up to the translating organisation to manage the promotion and distribution of the translated booklet.
- SALTO Inclusion should receive a small number of copies for their use
- SALTO Inclusion should also receive the A4 PDF version of the booklet, in an appropriate resolution for downloading it from the SALTO website as well for printing it out on a printer (3-5Mb).
- SALTO Inclusion will announce the existence of the booklet via its website (and make it available for downloading) and via its newsletter.
Costs & Work involved
Translating, layout & printing does cost time & money! It is an undertaking that should be taken seriously and well planned. You are responsible for the whole budget of not only translation, but also the layout (with annexed costs such as making a PDF version, burning & posting the CDrom to the printer, etc) and the printing (if you decide to do so - you could also decide to only make an electronic version in your language).
Therefore it is important to agree with SALTO on the different steps to be taken, and the involvement of each in the process, and in the costs and workload.
